Accounts Payable Assistant

About the role

Fairmont Southampton is seeking an Accounts Payable Assistant to support the accurate and timely processing of the hotel’s accounts payable functions. Reporting to the Assistant Director, Finance & Business Support, you will play a key role in ensuring invoices are processed correctly and payments are made on schedule.

Key responsibilities

• Receive, review, code and process supplier invoices promptly.
• Verify invoices against purchase orders, receiving records, contracts and other supporting documentation.
• Obtain appropriate departmental approvals before processing payments.
• Enter invoices into the hotel’s accounting system with correct general‑ledger accounts, department and tax codes.
• Maintain organized records of invoices and payment documentation.
• Assist with vendor record maintenance, account reconciliations and month‑end closing procedures.
• Liaise with Purchasing, Receiving, department heads and suppliers to ensure efficient and compliant payment processes.

• Commitment to adhering to Accor and Fairmont standards and procedures.
