Accounts Receivable Assistant

About the role

The Accounts Receivable Assistant supports the Finance & Business Support team at Fairmont Southampton, ensuring the hotel’s receivable processes are accurate and timely. Working closely with Sales, Events, Front Office and Finance, the role helps maintain smooth billing and collection cycles in a luxury hospitality environment.

Key responsibilities

• Prepare, review and distribute invoices, statements and account summaries.
• Process daily receipts, including bank transfers, credit‑card settlements and direct payments.
• Maintain accurate customer account records and supporting documentation.
• Ensure billing aligns with contractual agreements, group resumes, banquet event orders and hotel policies.
• Verify that charges are properly documented and allocated to the correct customer accounts.
• Assist with the preparation and processing of city ledger and direct‑bill accounts.
• Monitor accounts‑receivable aging reports, identify overdue accounts and support collection activities.

Required profile

• Strong attention to detail and accuracy in financial administration.
• Ability to work collaboratively with multiple internal teams.
• Good understanding of invoicing, payment processing and account reconciliation.
• Familiarity with hospitality‑industry billing practices is a plus.
