Group Reservations Coordinator

About the role

We are looking for a Group Reservations Coordinator to join the Reservations & Revenue Team at Fairmont Southampton, a luxury resort in Bermuda. The role will manage group room bookings from confirmation through arrival, ensuring a seamless experience for group conveners and guests.

Key responsibilities

• Serve as the primary reservations contact for group conveners, handling bookings, changes, cancellations and special requests.
• Maintain group room blocks, rates and details in Opera Property Manager and GroupMax, and monitor pickup, attrition and wash.
• Collaborate with Sales, Conference Services, Revenue Management and Front Office to align reservations with contracts and billing instructions.
• Prepare and update group rooming lists, balance inventory across categories and communicate VIP or special requirements to relevant departments.

Required profile

• Minimum 2 years experience in reservations, front office, sales or group bookings, preferably in a luxury hotel.
• Hospitality, tourism or business education preferred.
• Strong organizational, analytical and communication skills with the ability to multitask in a fast‑paced environment.

Required skills

• Proficiency in Microsoft Excel, Word and Outlook.
• Experience with Opera Property Manager.
• Familiarity with GroupMax reservation system.
