Transient Coordinator

About the role

Join Fairmont Southampton, Bermuda’s largest resort, as a Transient Coordinator. You will manage individual leisure (FIT) bookings, deliver personalized guest service, and support revenue optimisation in a luxury hospitality environment.

Key responsibilities

• Process incoming FIT reservations via phone, email and online channels, confirming bookings accurately and promptly.
• Promote resort packages, spa, golf, dining and other add‑ons to enhance guest experience and maximise revenue.
• Maintain room inventory, rate codes and availability in the PMS and CRS, monitoring pace, pickups and cancellations.
• Collaborate with the Reservations & Revenue Manager on forecasting, dynamic pricing and occupancy optimisation.
• Coordinate pre‑arrival communications, capture guest preferences and ensure seamless hand‑off to Front Desk, Concierge, Spa, Golf, F&B and Housekeeping.
• Generate reservation reports, track trends and provide insights to the Revenue Manager.

Required profile

• Minimum 2 years experience in reservations, front‑office or hospitality sales, preferably in a luxury hotel or resort.
• Bachelor’s degree in Hospitality Management, Tourism, Business or related field preferred; equivalent experience acceptable.
• Strong organisational detail, customer‑first attitude and ability to multitask under high occupancy periods.
• Professional integrity, reliability and willingness to work varied shifts including weekends and holidays.

Required skills

• Proficiency with Property Management Systems (PMS) and Central Reservation Systems (CRS).
• Experience using reservation software and Microsoft Excel for data analysis.
